Resume Parse Errors in ATS — Debug Checklist When Fields Come Back Empty
Contact blank, experience missing, skills empty — how to diagnose ATS parse failures and fix the file before you re-apply.
You uploaded. The portal said success. Then the profile preview shows no email, empty experience, or a skills section that looks like alphabet soup.
That's a parse error, not a personality problem.
How to tell it's a parse issue
Signs the ATS mangled your file:
- Preview fields don't match what you see in Preview PDF
- Dates attached to the wrong company
- Bullet text fused into one paragraph
- LinkedIn or phone missing even though it's on page one
- Your name appears twice; your title appears under Education
If the portal lets you edit fields after upload, always check that screen. Fixing it in-portal helps that application — fixing the source file helps every future one.
Debug checklist (run in order)
1. Confirm the file type
Prefer DOCX or a text-based PDF from Word/Google Docs. Avoid:
- Scanned PDFs (image only)
- Design-tool exports with little selectable text

Open the PDF, select a sentence of experience text. If you can't highlight it, the ATS can't either.
2. Kill layout features parsers hate

3. Standardize section headings
Use boring headings on purpose:
- Experience (or Work Experience)
- Education
- Skills
Creative labels ("Where I've shipped", "Toolkit") confuse classifiers. Save personality for the bullets.
4. Fix the contact block
One line under your name works:
City, ST · email@domain.com · (555) 555-5555 · linkedin.com/in/you
No icons. No multi-column contact strip. No image of your email.
5. Normalize dates
Pick one format and stick to it: Jan 2022 – Mar 2025 or 2022 – 2025. Put dates next to the role, not floating in a side column the parser never associates correctly.
6. Re-export cleanly
In Google Docs: File → Download → PDF or DOCX.
In Word: Save As PDF (avoid "print to PDF" from a design layout).
Re-upload and check the portal preview again.
After parse works: still check keywords
A clean parse with weak overlap still ranks low. Once fields populate correctly, run keyword matching against the job description so you're not just readable — you're relevant.

Still broken?
- Try DOCX if PDF fails (or the reverse)
- Paste content into a fresh blank document (template corruption is real)
- Remove photos, charts, and skill-meter graphics
